The Organizing-Administrative Bureau has pre-booked an adequate number of rooms in Sani Beach Hotel (congress venue) at special rates for the participants during the Congress.

Conferre Ltd has been appointed as the official hotel accommodation agent for the 10th BANTAO Congress and will handle all related arrangements.

Participants can book accommodation during the Congress and benefit from the special rates (packages) by:

• completing and submitting the online Accommodation Form

Accommodation Booking Process

Steps:

1. Submit the online Accommodation Form or duly complete the Accommodation form in pdf format and send it to the Organizing-Administrative Bureau by email (info@bantao2011.gr) or fax (+30 26510 68611).
    
2. 50% DEPOSIT: After correct submission of the form, you should proceed with a 50% DEPOSIT of the total cost of the booking within 5 days. Your accommodation booking will not be confirmed and processed unless accompanied by the deposit.
    
   Please note that this step (deposit) is necessary for continuing the procedure
   BUT it may be skipped and you may proceed directly with full payment.
    
3. Upon receipt of the deposit (and within 5 days), you will receive a confirmation of your booking, indicating your reservation details and the corresponding balance of payment. (The booking will only be final upon receipt of the corresponding balance, in case of existing).
    
4. FULL PAYMENT: All accommodation bookings require full pre-payment no later than 30/06/2011. If the corresponding balance is not paid until this date, your booking will be cancelled.
    
5. Upon receipt of the full payment and within five (5) days you will receive the hotel voucher by email or fax. Should you not receive either the confirmation or the hotel voucher, please contact the Organizing-Administrative Bureau.

Online Accommodation Form-Confirmation

Booking through the online Accommodation Form is encouraged.

Payment

Accommodation Form has both payment options:

1. Deposit Payment (necessary and default)
2. Full Payment

and should be completed only once (for every individual booking) and not repeated when paying the corresponding balance.

-in case of payment by bank transfer proof of corresponding balance payment should be sent to the Organizing-Administrative Bureau (see methods of payment below)

-in case of online payment by credit card, the corresponding balance (if deposit option is chosen) should be paid only through a second online form available at the bottom of the page (Balance Form for Payment by Credit Card)

Please make sure you enter correctly your Accommodation Booking Number (sent by email after successfully submission of the online Accommodation Form)

Important Notes:

1. Minimum stay of nights (package): THREE (3). Requests only for one or two nights cannot be accepted.
    
2. Each Accommodation Form corresponds to one individual booking (1 room). If you wish to reserve for another room, you should complete another Form.
    
3. No accommodation booking will be confirmed and processed unless -accompanied by a 50% deposit of the total cost of the booking within 5 days of the submission (and the proof of payment in case of bank transfer, sent by email or fax to the Organizing-Administrative Bureau)
   - accompanied by the full pre-payment of the total amount the latest by 30/06/2011 All accommodation bookings are considered valid only upon receipt of full payment until 30/06/2011.
    
4. Accommodation Forms sent after 15/06/2011 will be processed only upon confirming availability and the full payment must be immediate.
    
5. In case of special needs (extras, day use, earlier/later check in/out, different room type, non-smoking, bed type etc) it must be completed in Option “Details” field or contact directly the Organizing-Administrative Bureau for checking availability and (extra) costs.

All payments must be transferred free of charge for the beneficiary.

B. By CREDIT CARD (MasterCard or Visa)

The preferred payment method for the Congress is online payment by credit card. For security reasons, payment by credit card is being made online through DeltaPAY system (the secure transaction service by Alpha Bank).

Cancellation Policy/Refunds

For any written cancellations of rooms sent to the Organizing-Administrative Bureau

• Before & on 10/06/2011: there will be full refund minus 20,00 € administration fee per room per package
• From 11/06/2011 until 30/06/2011: 50% of the amount will be refunded
• From 01/07/2011 & onwards: there will be no refund

All changes or cancellations have to be made in writing to Conferre Ltd.
Please DO NOT contact the hotel directly.
No telephone cancellations and/or amendments will be accepted.
Refunds will be settled within 30 days from the end date of the Congress.

• In case of non-show, the hotel will automatically release the room and the total amount paid will be non-refundable.
• If you arrive later or leave earlier than the dates indicated on your Accommodation Form, the total amount paid will be non refundable

Receipts-Invoices

In case you wish us to issue an invoice for this service, please check it the invoice box and complete the appropriate fields of the Accommodation Form with all the necessary details.
In case of not indicating your request for an invoice, the organizing-Administrative Bureau will issue automatically a receipt (default).

Receipts and invoices for accommodation bookings will be provided to participants on-site during the Congress by the Secretariat, upon request or after the Congress. No receipts or invoices will be sent in advance.

Congress Organizers & Conferre Ltd shall not be responsible for and shall be exempt from all liability in respect of any loss, damage, injury, accident, delay or inconvenience to any person, or his /her luggage or any other property for any reason whatsoever, for any tourist services provided. Personal travel and health insurance is recommended.
